Calendar & Scheduling
The calendar shows an overview of all scheduled tasks per week. Families and au pairs see the same schedule, so everyone knows what's expected on any given day.
Weekly overview
On desktop, all seven days are displayed side by side in a grid layout. On mobile, you navigate one day at a time using the day picker at the top. Use the arrows to switch between weeks, or click Today to jump back to the current week.
Managing tasks
Families can add one-time events directly from the calendar using Add event. Set up recurring work in Tasks; the calendar shows its individual occurrences.
Need a different plan just for Wednesday? Open that event and choose Edit this event. Changes to its title, date, start time and duration apply only to that occurrence. The recurrence rule stays the same. Remove this event or Skip for this day removes one occurrence from the schedule without deleting the task template.
With the Google Calendar connection, you can also adjust individual events in the separate Opairly calendar in Google. Complete tasks and review hours in Opairly. Routines explain how to do the work; they do not create calendar events.
Have you added children? Use the child filter at the top to show only tasks for a specific child.
Reminders
When adding an appointment or a recurring task, set Reminder to off, 15 minutes before or 30 minutes before. Under Remind, choose the parent or au pair handling the drop-off, pickup or other task. A start time is required. Reminders are off for existing tasks.
Recurring appointments inherit their task's reminder. Open Edit this event and enable Different reminder for this appointment only to change the recipient or reminder for one day. You can also turn it off for that occurrence.
Tapping a push opens the appointment. Rescheduling, including through Google Calendar, moves the reminder with it. Completed, skipped and cancelled appointments receive no new reminder. Au pairs receive no reminders on free days or during approved leave.
The recipient needs to enable push in Settings > Notifications, where each person can also turn Appointment reminders off. On iPhone, add Opairly to the Home Screen first. Actual delivery time can depend on connectivity and phone settings.
Free days
Mark days as free using the sun icon at the top of each day's column. On free days, no tasks are expected and the column is highlighted in amber. Useful for weekends or public holidays.
Hours & Export
At the bottom of each day, you'll see the total scheduled hours, split into childcare and household. Use the download button to export the weekly schedule as PDF or Excel: useful for your au pair agency or IND application.
When hour-limit tracking is enabled, a badge at the top shows the weekly total against the hour limit (default 30h/week per Dutch au pair regulations).
