Calendar Sync

Plan in Opairly and Google Calendar, or view the schedule with an Apple Calendar or Outlook subscription.

Host families can see the au pair's schedule in their own calendar. The Google Calendar connection also lets you change the schedule from Google. Apple Calendar and Outlook support a calendar subscription for viewing the schedule.

Google Calendar: plan in either app

The connection uses a separate Opairly agenda in your Google account. Tasks from Opairly appear there as events. Changes to an event in that agenda update the schedule in Opairly. New events in the Opairly agenda also appear in Opairly.

Only this separate agenda is synced. Events in your personal or work calendars are not imported. Complete tasks, track hours, and manage task rules in Opairly.

Open an event in the Opairly calendar and choose Edit this event to change its title, date, start time, or duration. This changes only that occurrence. Remove this event or Skip for this day removes one occurrence from the schedule; the task template remains.

Recurring Google events appear as separate occurrences in Opairly. Manage the whole Google series in Google Calendar. Events spanning multiple days are not supported; split them into separate days.

New Google events are imported from seven days ago through ninety days ahead. Opairly shares events that have already been created in its schedule. Connecting does not create ninety days of future tasks at once.

Connecting

Go to Settings > Household > Google Calendar.
Click Connect Google Calendar.
Choose your Google account and allow the connection.
Wait for the first sync to finish. Use Open agenda to view the connected calendar.

If the connection is not available yet, this section will say so. You can use the calendar subscription below in the meantime.

Already subscribed to the old Opairly calendar link in Google Calendar? Remove that subscription after the first successful sync to avoid seeing each task twice. Keep the new, connected Opairly agenda.

Refreshing and reconnecting

The connection shows when your schedule was last synced. Opairly changes are exchanged periodically and Google can send change notifications. Updates are not instant: allow a few minutes. Click Sync now to start a sync yourself.

If the same part of an event changes in both apps before syncing, Opairly's version is kept and a message appears by the connection. Changes to different parts are merged where possible.

If the connection needs attention, try syncing again or click Reconnect Google Calendar. Use the same Google account you used for the original connection.

Deleted the connected Opairly calendar in Google? Reconnecting does not recreate it. Switching to another Google account is also not supported yet.

Disconnecting

Click Disconnect Google Calendar and confirm with Stop syncing. Your tasks stay in Opairly and existing events stay in Google Calendar. Further changes will no longer be shared between the apps.

Apple Calendar and Outlook: view the schedule

Opairly can create a private calendar link (iCal feed) for your household. A subscription to this link works one way: from Opairly to your calendar app. Edit tasks and the schedule in Opairly.

Go to Settings > Household > Apple Calendar & Outlook.
Click Generate calendar link, then Copy calendar link.
Add the link as a calendar subscription in your calendar app.

Apple Calendar

Open the Calendar app and choose New Calendar Subscription. Paste the link and confirm. On an iPhone, add a subscribed calendar through Calendar's account settings.

Outlook

Open Outlook Calendar, choose Add calendar > Subscribe from web, paste the link, and confirm.

Google Calendar as an alternative

If the direct Google connection is not available yet, add the calendar link in Google Calendar through Other calendars > + > From URL. This subscription is for viewing the schedule only; it does not send changes back to Opairly.

What the subscription shows

Tasks appear with their title, scheduled time, estimated duration, and category. Tasks without a specific time appear as all-day events. Linked children's names are not added. Completed tasks have a checkmark in the title; skipped tasks are hidden.

The feed contains existing scheduled tasks from the past week through the next four weeks. Your calendar app decides when to fetch the link again, so changes may appear later than in Opairly.

Anyone with the calendar link can view the schedule. Share it only with people who should have access. Regenerate link makes the old link stop working; subscribers will then need the new link.

Who can set this up

Only host families can set up the connection and calendar link. The au pair uses Opairly for the schedule, task details, completions, and hours.
